Each channel configures request approval, the operational response target, how long the delivered link stays valid and how often an employee can ask again. These product settings do not determine the employer's legal obligations.

Who can do this: Administrators

Approval Strategy

  • Auto-approve all requests: every eligible request is delivered straight away.

  • Manual review required (default): an administrator approves or rejects each request.

  • Risk-based (auto-approve low risk): requests are approved automatically unless there is a signal worth a look, such as the employee being a salary outlier or a gender pay gap in their group.

  • The cooldown counts from the last approval. During it, the employee can't submit a new request and you can't send them a new report.

  • The response deadline drives the due dates shown on the Home card. It adds the configured number of days to the request date; the default is 60 days.

  • Link expiry is how long the employee can open the delivered report. Once it expires, they can't renew it themselves.

Response Deadline is a day-based workflow target. It does not automatically calculate a calendar-month legal deadline. Sixty days and two calendar months are not interchangeable.

Article 7(4) of the EU Pay Transparency Directive requires information within a reasonable time and, in any event, within two months of the request. Check the applicable national requirements separately and choose an operational target that gives your team enough time. Changing this setting does not extend an employee's applicable legal deadline.

Good to know

  • Under Delivery & Notifications, you can send a confirmation email for requests that need manual review, edit the delivery email, and choose Also send the report to the employee's manager (off by default).

  • Auto-approved requests get the delivery email straight away.

  • Approval re-checks eligibility, so a request can still be refused at approval if something has changed.
