Managing Employees
The Employees List
The Employees section under Job Architecture gives you a full view of your workforce. Each row in the list represents one employee and displays a configurable set of columns.

Default columns
By default the list shows: Name (with employee ID), Position, Gender, Salary Band (a visual in-band indicator), Compa Ratio (with a ⚠ warning icon when the employee is outside their salary band), Job Level, Salary (Monthly), and Latest Payroll. You can drag and drop the columns to reorder your preferred view, without affecting other users in your organization.
Display Properties
Click '+' -icon in the top-right of the list to choose which columns are visible. Available fields include: Name, Organisation Unit, Position, Job Family, Career Path, Gender, Job Level, Job Grade, Skills, Certificates, Salary (Monthly), Latest Payroll, Expected Band Position, Compa Ratio, Salary Band, Tenure, Alerts, Pay Info Requests, Status, Education, Work Location, Contract Type, Working Hours, Experience, and Keywords.

You can also use the same fields as filters to narrow the list down to a specific subset of employees.
Bulk actions
Select one or more employees using the checkboxes to reveal the bulk action toolbar:
- Edit Fields — update Position, Organisation Unit, Education, Gender, Work Location, Contract Type, or Employment Status for all selected employees at once.
- Actions — Assign Keywords or Set agreed compensation across the selection.
- Archive — move selected employees to the archived state.
- Restore — reactivate previously archived employees.
- Delete — permanently remove employee records.
The Employee Record
Click any employee to open their full record. The record is organised into eight tabs:

Overview
The Overview tab is split into two sections:
- Personal Information — First Name, Last Name, Employee ID, Email, Date of Birth, Gender, Nationality, Country, City, and Education.
- Employment Information — Position, Organisation Unit, Manager, Start Date, Contract Type, and Working Hours.

A sidebar on the right summarises key data at a glance: current salary, Job Level, Compa Ratio, Status, Keywords, a visual Salary Band indicator, and a Manager & Direct Reports section.

Competence
Displays the employee's Skills and Certifications, giving a structured view of their capabilities alongside position requirements.

Performance
Contains three components:
- Performance Reviews — lists each review with its rating, period, and reviewer.
- Performance Trend — a chart showing how ratings have changed over time.
- Career Path — shows the employee's current career path and allows you to add a target position.

Compensation
The Compensation tab provides a detailed pay breakdown:
- Agreed Compensation and Latest Payroll Gross.
- Expected Band Position — shows the employee's quartile within their salary band, the band range, and a confidence percentage.

- Position Peer Comparison — a tooltip with peer context for the employee's pay.
- Pay Comparison table — compares Average, Median, and pay difference (Diff) across six peer groups: Position Peers (All / Same Gender / Opposite Gender) and Equal Value Work (All / Same Gender / Opposite Gender).

- Salary History — a full log of past salary changes, with an option to Import Payroll Data.
Alerts
Lists all active and resolved pay equity alerts for this employee, such as Group Pay Gap Alerts. Alerts are also counted with a badge on the tab itself so they're visible at a glance. Alerts are linked to the work of equal value -definition, that has been set for the environment.

History
A chronological record of Employment Changes and Position History, tracking how the employee's role and terms have evolved over time.

Pay Rationale
Stores the documented rationale for the employee's current compensation — useful for audit purposes and manager conversations.
Pay Information Request
Manage pay transparency communications directly from the employee record:

- Send Pay Information — shows whether the employee is ready to receive a pay information letter or if there are concerns. A cooldown notice appears if a letter was recently sent; you can override this with Send Anyway, and define the actual cooldown period in Organization Settings. Letters can also be Downloaded as PDF.
- Report Preview — a preview of the pay information document the employee would receive.
- Request History and Delivery History — logs of all previous requests and deliveries.
Custom Fields
You can extend both employee records and position pages with custom fields to capture information specific to your organisation. Custom fields are configured in Settings and appear alongside the standard fields in the relevant record.
