Before You Start: What Data Do You Need?

Getting value from Evenpay starts with bringing the right data into the system. You don't need everything to be perfect on day one — but the more complete your data, the more accurate and actionable your pay equity analysis will be.

At a minimum, you need three things:

Employee records — who works in your organization
Compensation data — what each person earns
Job structure — how roles and levels are organized

Optional data — like performance ratings, education, certifications, and skills — will make your adjusted pay gap analysis more precise. But you can run a meaningful analysis without them.

Step 1: Prepare Your Data File

Evenpay accepts data via file import (CSV) or through a direct integration with your HR or payroll system. If you're starting with a file import, prepare two spreadsheets.

Branding

The Branding settings page controls how your organization's identity appears within Evenpay — including your logo, company name, and brand colors. Navigate there via Settings → Branding.

Logo Settings

Show Logo — toggle this on to display your logo in the application. When on, an upload field appears.

To upload your logo, click Choose File and select your image. Supported formats: PNG, JPG, GIF, WebP, or SVG. Maximum file size: 5MB. Recommended dimensions: 200×60px for best results in the header area.

Company Name

Show Company Name — toggle this on to display your company name in the application header. The name shown is pulled from your Organization → Company settings, but can be adjusted here independently for display purposes.

Brand Colors

Brand colors customize the color scheme used across the Evenpay dashboard. You can either pick from a set of preset color combinations or enter custom hex values.

Color Presets — six ready-made combinations: Dark Night, Blue, Green, Orange, Rojo Red, and Teal. Click a preset to apply it instantly.

Primary Color — the main accent color used for buttons, highlights, and interactive elements.

Job Evaluation in Evenpay

Job evaluation is the process of systematically scoring each position against a set of structured criteria — knowledge requirements, problem-solving complexity, responsibility, and working conditions — so that grade assignments reflect the actual demands of the work rather than job titles or seniority assumptions alone.

In Evenpay, this is done through Position Evaluation. Navigate there via Positions → Position Evaluation.

Why Job Evaluation Matters

Under the EU Pay Transparency Directive, employers must be able to demonstrate that their pay structures are based on neutral, objective criteria. Job evaluation is the mechanism that makes this possible — it produces a documented, auditable score for each position that justifies its grade placement.

Without evaluated grades, equal-value comparisons rest on assumptions. With them, you can show exactly why two roles are — or aren't — considered work of equal value.

The Position Evaluation List

The Positions tab lists all positions in your organisation and their current evaluation status. Columns show each position's Level, Family, Status, and scores across the evaluation dimensions, which you have selected in your Evaluation Framework, such as: Knowledge, Mental & Problem-solving, Responsibility, Working Conditions, and a Total score.

Data & Integrations

The Data & Integrations settings page is how you get data into and out of Evenpay. Navigate there via Settings → Data & Integrations. The page has two tabs: Integrations and Data.

Integrations

The Integrations tab shows all available ready-made connectors for HR and payroll systems. Evenpay currently supports connections to HR tools such as Deel, Hailey HR, HiBob, Leapsome, and Payroll tools such as Netvisor, Mepco (SFTP) and Procountor.

Use the Connected and Available filter tabs to see what's active versus what's available to set up.

Data

The Data tab is split into two sections: Data Import and Export.

Data Import

Import data from spreadsheets when you're not using a direct integration, or when you need to bulk-load a specific data type. Each import type has a Sample file you can download to see the expected format before preparing your data.

Skills & Certificates

The Skills & Certificates settings page is where you build the library of skills and certificates that can be assigned to employees and positions. Navigate there via Settings → Skills & Certificates. The page has two tabs: Skills Management and Certificates.

Skills Management

Competency Scale

The competency scale defines the proficiency levels used when rating skills across your organization. The default scale has 5 levels:

Click Customize to rename levels or adjust descriptions. Individual skill categories and skills can override the default scale if needed.

Building Your Skills Library

You have three options for populating the skills library:

Load Default Skills — loads Evenpay's built-in skill taxonomy as a starting point. Recommended for most organizations.
New Category — creates a category to organize skills into logical groups (e.g. "Programming Languages", "Leadership", "Data Analysis")
New Skill — adds an individual skill to the library

Authentication & Single Sign-On (SSO)

Evenpay uses Auth0 as its identity and authentication platform. Auth0 is a leading identity provider trusted by thousands of organizations worldwide. This article explains the authentication options available to your organization.

Login Methods

By default, Evenpay supports the following login methods: | Method | Description | | Email + Password | Standard login with your email address and a password. Passwords are cryptographically hashed — they are never stored in plain text. | | Google Sign-In | Log in using your Google Workspace or personal Google account. No separate Evenpay password needed. |

Each user account is personal. Login credentials must not be shared between users.

Single Sign-On (SSO)

For organizations that want centralized identity management, Evenpay supports Single Sign-On (SSO) through Auth0. SSO allows your team to log in to Evenpay using the same credentials they use for other company tools — no separate password to remember.

When SSO is configured, your organization can restrict access so that users can only log in through your identity provider — email/password login is disabled for your organization.
