Automations

The Automations settings page controls how Evenpay detects and responds to pay gaps automatically. Navigate there via Settings → Automations. The page has three tabs: Pay Gap AlertsJustifications, and Reminders.


Pay Gap Alerts


Pay Gap Thresholds


Configure at what percentage a pay gap becomes an alert — and how severe. The EU reference point is 5%, which is the default Alert threshold.



Minimum Group Size


Set the minimum number of employees of each gender required before a comparison group can trigger an alert. The default is 1 for both males and females — meaning even a single employee in a comparison group can generate an alert if the gap is large enough.




Equal Work Comparison


Define how employees are grouped for pay equity comparisons. EU regulations require comparing employees doing "work of equal value" — this setting determines what that means in your organization.


The default grouping is Job Grade — employees at the same grade are treated as doing work of equal value. The interface shows how many groups this produces and whether any positions fall outside a group.



Alert Triggering & Pay Rationale


Choose what type of pay gap triggers alerts:


  • Total pay gap (Recommended) — alerts trigger when the total salary difference exceeds the threshold, regardless of whether justifications exist. Most strict — catches all gaps.
  • Unexplained pay gap — alerts only trigger when the gap that remains after documented pay rationales exceeds the threshold. Useful for ongoing compliance tracking once your justification documentation is mature.



Alert Detection


Control whether alerts are created automatically each time an analysis runs:


  • Automatic Alert Detection — when enabled, Evenpay detects and creates alerts every time an analysis runs. Recommended to keep on.
  • Alert Cooldown Period — prevents duplicate alerts for the same comparison group within the set period. The default is 3 months — meaning if a group already has an open alert, no new alert will be created for it for 3 months.



System Pay Rationale


Configure how Evenpay automatically generates and manages pay rationale suggestions based on its ML analysis. These are system-detected statistical rationales — not manually created justifications.

Removes system rationales that are no longer detected by the model. Keeps justifications in sync with current analysis — but may remove explanations you want to keep. Off by default.



Justifications


The Justifications tab manages the list of reasons available when documenting a business justification for a pay difference. These reasons appear in the justification drawer when HR or managers are documenting why a specific employee's pay deviates from the expected range.


Evenpay comes with 13 built-in justification reasons, organized into categories. All 13 are enabled by default. You can disable reasons that don't apply to your organization, and add custom reasons for situations the defaults don't cover.

Reasons marked Evidence Required prompt the user to attach supporting documentation when the justification is submitted. Each reason also shows an EU Compliance note explaining the conditions under which that reason is legally acceptable — for example, "Seniority systems are generally acceptable if applied consistently to all employees in similar roles."


To add a custom reason, click + Add Custom Reason. Custom reasons follow the same format as system reasons and can be configured with an evidence requirement and EU compliance guidance.


Reminders


The Reminders tab controls automatic email reminders sent to employees asking them to verify their pay information is up to date.


Pay Information Reminders — when enabled, employees receive periodic email reminders to review and confirm their compensation information. The coverage percentage shows what proportion of your employees are included in the reminder flow.


To enable, toggle on Enable automatic reminders. This is disabled by default.
