Backups and restores

Take a snapshot of your organisation's data and restore it if something goes wrong.

Backups let you save a snapshot of covered business data, for example before a large import or a restructure, and restore that data if needed. A snapshot is not a complete rollback of every aspect of your organisation.

Who can do this: Administrators.

What a whole-organisation snapshot covers

The table summarises key inclusions and exclusions. Entity-scoped snapshots have a narrower restoration scope; see Backups and the audit log by entity.

Area

Snapshot coverage

Employee records, compensation, employment-change records and salary history

Included in whole-organisation snapshots.

Job structure, pay bands, compensation definitions, merit cycles and reviews, and pay-equity scenarios

Included.

Analytics snapshots, analytics pointers and alerts

Included in whole-organisation snapshots.

Users, organisation membership and entity access grants

Not rolled back by a snapshot restore.

Entity tree and entity-specific settings

Not rolled back.

Integration connections, credentials, field mappings and import profiles

Not rolled back. Restoring employee data does not restore an earlier integration setup.

Audit trail

Not rolled back; the restore is itself audited.

Organisation identity

Not recreated. Restore targets the same existing organisation.

Take a snapshot

  1. Select Create snapshot.

  2. If your organisation uses entities, choose the Scope: the whole organisation or one entity.

  3. The snapshot appears in the list when it's ready.

Restore a snapshot

Before restoring: check the snapshot's scope and the exclusions above. A restore will not undo changes to access rights or integration mappings. Consider pausing automatic imports while investigating a data problem.

  1. Select Restore next to the snapshot.

  2. Read the summary of what will change.

  3. Type RESTORE to confirm.

Before restoring, Evenpay takes a safety snapshot of the current covered data automatically. The same scope and exclusions apply to that safety snapshot; it is not a backup of every setting or access change.

After restoring, check the affected employee records and relevant analysis. Review access and connection settings separately because they were not rolled back.

Download and import

  • Download saves a snapshot file to your computer.

  • Import uploads a snapshot file you downloaded earlier.

  • Delete removes a snapshot.

Same organisation only: a downloaded snapshot must be imported into the same existing organisation. It is not a way to migrate data to a different organisation or recreate a deleted one. Contact support before deleting an organisation if you need to establish any recovery options outside this snapshot feature.

Good to know

  • Snapshots are kept for 90 days, and up to 20 at a time. To change these limits, contact support@evenpay.io.

  • A snapshot is encrypted with your organisation's own key, so it can only be imported back into the same organisation.

  • Restoring replaces the covered current data within the restore scope with the snapshot's data. Later changes to that covered data are lost from the restored state, apart from what the safety snapshot keeps. Excluded areas are not rolled back.
