Sending pay information without a request, or to an employee representative

Send a report on HR's initiative, route it through a representative, or download a PDF.

You don't have to wait for a request. You can send an employee their pay information report yourself, send it to an employee representative when the comparison group is small, or download it as a PDF.

Who can do this: Administrators

Where: the employee's profile → Pay Information Request tab

Send pay information

  1. Open the employee's Pay Information Request tab.

  2. Check the Report Preview.

  3. Select Send Pay Information. Evenpay generates the report with the current settings and emails the employee a secure link.

You can't send while the employee has a pending request (handle that instead), or during their cooldown period. The tab tells you when they can next receive one.

Send to an employee representative

When the comparison group is below the anonymity threshold, sending directly could reveal colleagues' pay. The tab offers:

  • Send to Employee Representative: enter the representative's email and choose a Report Language.

  • Send Anyway: send to the employee despite the small group. This override is recorded in the audit log.

Download a PDF

Select Download PDF. A privacy warning reminds you that the file contains personal pay data. Only administrators can download the PDF; employees view their report through the secure link.

Good to know

  • Every delivery appears in Delivery History.

  • A new delivery replaces the employee's earlier active links.

  • Links stop working when they expire, or if the recipient's email is no longer on the employee record.
